MC minutes and agenda instructions


Before the meeting

  • The agenda is locked down on midnight one week prior to the MC meeting
    • All reports, proposals and agenda items must be added to the agenda prior to this
    • If the date is missed, they should be added to the next month's meeting
  • At the same time as locking the agenda, the secretary additionally creates the agenda for the next month

During the meeting

  • The title of the agenda is amended to 'minutes'
  • A 'draft' lozenge is added to the minutes

After the meeting

  • The MC have one week to review the minutes
    • The MC can either edit the minutes, or leave comments for the secretary to review
  • One week after the MC meeting, the secretary:
    • Resolves all comments
    • Removes the 'draft' lozenge
    • Locks the page from being further edited


Note: at any given time, only the MC and manager will have editing access for the agenda. All other members will have view rights (including when the minutes and agenda are in draft status). These view rights do not permit them to view unpublished changes.
